<p>A prestigious multi-family office in London is seeking an <strong>Executive Assistant</strong> to support its management team. The firm provides wealth management, investment management and family office services to an international client base.</p> <p>This <strong>part-time role (Monday-Thursday)</strong> offers flexible working hours within those days and the opportunity to join a collaborative, highly professional environment where your organisational skills and attention to detail will play a key role in supporting the smooth running of the business.</p> <p><strong>This role will be Monday to Thursday in the London office working to the hours of 10am -3pm with flexibility when needed.</strong></p> <strong>What you'll do</strong> <ul> <li>Provide high-level administrative support to the senior management team including the CEO, CIO, COO and Head of Clients.</li><li>Manage complex diaries and scheduling across multiple time zones.</li><li>Coordinate Board and committee meetings, liaising with Board members and their assistants.</li><li>Organise daily, weekly and ad-hoc meetings, including room bookings, materials and agendas.</li><li>Prepare and circulate meeting agendas, minutes and documentation.</li><li>Draft and proofread correspondence and internal communications.</li><li>Maintain accurate contact databases and internal records.</li><li>Support preparation of reports and Board documentation.</li><li>Manage travel arrangements, itineraries and expense submissions for senior staff.</li><li>Oversee office supplies and general office administration.</li><li>Maintain training records and compliance documentation.</li><li>Reconcile corporate credit cards and assist with invoice processing.</li><li>Liaise with building management and external IT providers.</li><li>Support staff benefits administration and financial record keeping.</li><li>Assist with the organisation of 2-3 corporate events annually.</li></ul> <strong>What you bring</strong> <ul> <li>Proven experience as an Executive Assistant / PA within a professional services environment.</li><li>Strong diary management and senior stakeholder support experience.</li><li>Excellent organisation and multi-tasking skills with high attention to detail.</li><li>Strong written and verbal communication skills.</li><li>High level of discretion and professionalism when handling confidential information.</li><li>Proficiency in MS Office (Outlook, Word, Excel) and SharePoint.</li><li>Experience with payroll or finance processes beneficial but not essential.</li><li>A proactive and collaborative approach, with the ability to anticipate needs and support a fast-paced team.</li></ul> <p>If this sounds like you apply today!</p> <p><strong>Robert Walters Operations Limited is an employment business and employment agency and welcomes applications from all candidates</strong></p>
